The Workload Schemes setting in the Teamployees plugin allows team managers to define and manage various different workload schemes in the organization. These schemes help in distributing tasks and responsibilities effectively, ensuring a balanced workload among employeesteam members.

When you first install the Teamployees plugin, all users of your Jira instance are set to a "Default" work schedule, which is a typical 40-hour workweek (8-hour days, 5 days a week).

If the default workload scheme does not meet your team's needs, you can create a custom scheme tailored to your workload parameters.

Workload Scheme

Define scheme details:

  1. Name: Enter a name for the scheme.

  2. Description: Provide a brief description of the scheme.

  3. Work Schedule: Set the total number of working hours for each day. If the day of the week will be a “day off”, such as Saturday or Sunday, leave the value as 00:00.

For example, let's create a schedule for employees team members who work only 4 hours a day, for example from 9:00 AM to 1:00 PM from Monday to Wednesday:

  1. Go to "Manage Users" in the settings section.

  2. Choose the team member or group you wish to assign the scheme to.

  3. Select the appropriate workload scheme from the dropdown menu.

Modifying the Default Scheme

To replace the existing default scheme, click the image-20240705-091648.png icon next to the desired new workload scheme. After this change, all new users added to the Jira instance will be assigned this schema by default.

  • The new default workload scheme will automatically be applied to all users who were not previously assigned another custom scheme.

  • There can be only one default scheme and it cannot be archived and deleted.

Managing and Editing Schemes

Once a workload scheme is created, there is no way to edit it. But you can archive and delete unused or erroneously created schemas.

Archiving the Workload Scheme:

  • Click the image-20240705-095540.pngImage Added Archive button in the row of the corresponding scheme.

  • This will move the scheme to the archive, after which it will be possible to delete it.

  • The default schema and schemas that are bound to a user cannot be archived.

    • To archive a default scheme, first select a new default scheme, then you can archive the previous one.

    • To archive a scheme linked to a user, you must first unlink it from all users in the "Manage Users" menu.

Deleting the Workload Scheme:

At the bottom of the table, select the "Show archived workload schemes" checkbox to show all schemes, including archived ones.

You can restore or permanently delete the schema:

  • Click on the image-20240705-095834.pngImage Added Restore button to restore the workload scheme.

  • Click on the image-20240705-095812.pngImage AddedDelete button to permanently delete the workload scheme and all data associated with it.

Warning

Please note that deleting the scheme may result in incorrect displaying of the history of workload schemes and incorrect data on the "Reports" tab for users who previously used this scheme to track their vacation, sick leave, etc.

You can have no more than 100 workload schemes (archived and active) at the same time. If the number of schemes reaches 100, new schemes cannot be added. In this case, you need to remove unnecessary schemas.
